Who is responsible for your data

What we collect, and why

Quote request forms (contact page and glass quote builder): your name, company, email, phone, country and city, VAT number if you provide it, your message and the products and sizes you ask about. We use it for one purpose — answering your request. Legal basis: taking steps at your request before entering into a contract (GDPR Art. 6(1)(b)).

Order form (Lifetime Acrylic ordering): company name, VAT number, contact person, email, phone, delivery address and your order lines. We use it to confirm and fulfil the order and to issue the invoice. Legal bases: performance of a contract (Art. 6(1)(b)) and our legal obligation to keep accounting records (Art. 6(1)(c)).

Cut-to-size glass order form (cut-to-size ordering, Latvia — the page is not linked from this site; framers receive the address from us directly): company name, registration or VAT number, contact person, email, phone, delivery address, your order lines and your confirmation that the sizes are correct. We use it to confirm and fulfil the order and to issue the invoice; we keep the size confirmation because the glass is cut to your figures and cannot be exchanged. Legal bases: performance of a contract (Art. 6(1)(b)) and our legal obligation to keep accounting records (Art. 6(1)(c)).

Price-list request form (price list page): your email, country and company name if you provide it. We use it for one purpose — sending you our price list and answering any follow-up you send us. Nothing else follows unless you tick the optional box described below. Legal basis: taking steps at your request before entering into a contract (GDPR Art. 6(1)(b)).

Sample request form (samples page): your name, company, email, phone, delivery address, the products you want to compare and your message. We use it for one purpose — sending you the samples and answering any follow-up. Legal basis: taking steps at your request before entering into a contract (GDPR Art. 6(1)(b)).

The optional marketing box on those two forms is the only thing that puts you on a list, and it is never ticked for you. If you tick it, we record the date and the exact sentence you agreed to, so that we can always show you what you signed up for. Legal basis: your consent (GDPR Art. 6(1)(a)). Leaving it alone changes nothing — you still get the price list or the samples. You can withdraw at any time by emailing sales@balticframe.com or using the unsubscribe link in any message we send; withdrawing does not affect anything sent before.

If you email or call us directly, we keep the correspondence for as long as it is relevant to your enquiry or our business relationship.

What we do not do

• No advertising or tracking cookies, and no tracking pixels.
• No profiling and no automated decision-making.
• No selling or renting of your data, ever.
• No newsletters or marketing emails unless you explicitly ask for them.

Cookies, analytics and local storage

This site sets no cookies that require consent — which is why you see no cookie banner. We measure visits with Cloudflare Web Analytics, a cookieless tool that collects aggregate statistics (page views, referrers, country-level location) without identifying individual visitors.

The two order pages and the glass quote builder save your unfinished order or request in your own browser (localStorage) so you can continue later. That draft never leaves your device until you press the send button, and it is deleted once sent. You can remove it at any time by clearing your browser data.

If you arrive from an advertisement or a search result, the link may carry campaign labels (the utm_source family of parameters) and, from an advertisement, a click identifier added by the advertising system. We keep those, the site that linked you here and the first page you opened, in your browser for the duration of your visit only — they are erased when you close the tab — and attach them to a form if you choose to send one, so we can tell which advertisement or article a request came from. The click identifier is a random string, not a name; we may report back to the advertising system that a click of theirs led to an enquiry, which is how we know whether an advertisement was worth its cost. This is not a cookie, it is never read by or shared with any other website, and it is not used to build a profile of you. If you send no form, nothing about your visit reaches us beyond the aggregate analytics described above.

The cut list optimiser keeps your last cutting plan the same way, for the same 30 days. It is not a form and there is nothing to send: the sizes you enter are worked out entirely inside your browser and are never transmitted to us or to anyone else. Clearing your browser data removes the saved plan.

Who processes data on our behalf

Form submissions are received by Cloudflare, which also hosts the site (content delivery and the cookieless analytics described above), and are stored on our behalf in a Cloudflare database in the EU so that no enquiry can be lost in transit. The resulting emails — the notification to us, your confirmation copy and the automatic price-list emails — are sent through Resend (Plus Five Five, Inc., USA) under the EU standard contractual clauses. If our own system is unavailable, a submission falls back to Formspree Inc. (USA), acting as our processor under the same clauses, so that your message still reaches us. Order and invoice data is shared with our accounting service provider and bank as needed for invoicing — nothing more.

If you choose to write to us on WhatsApp, that conversation takes place on WhatsApp Ireland Ltd. (Meta) infrastructure under their own terms and privacy policy, and we receive it in our business WhatsApp account — we then handle it like any other enquiry. WhatsApp is entirely optional: e-mail, the phone number and every form on this site reach us just as well.

How long we keep it

Quote, price-list and sample enquiries: for as long as needed to handle the enquiry and any follow-up, at most 2 years after our last contact — this covers both the emails and the stored copy of your submission. Orders and invoices: 5 years, as required by Latvian accounting law.

Your rights

Under the GDPR you can ask us for access to your data, correction, deletion, restriction of processing, a portable copy, or object to processing based on our legitimate interests. Just email sales@balticframe.com — we answer within a month. If you believe we have mishandled your data, you can complain to the Latvian Data State Inspectorate (Datu valsts inspekcija, dvi.gov.lv), or to the supervisory authority in your own EU country.

Changes to this policy

If we change how we handle personal data — for example, by adding new tools to the site — we will update this page and the date at the top before the change takes effect.
